Job Description

This is a remote position.

Opulent Events by Gracie is seeking an experienced Freelance Event Planner to support corporate and institutional event projects.

This role will assist with planning coordination, vendor management, and operational logistics throughout the event lifecycle, including preparation and onsite execution.

The planner will collaborate closely with executive leadership and support the successful delivery of a structured conference experience.

This opportunity is project-based and may extend to additional assignments depending on project needs and performance.

Key Responsibilities

  • Support event planning coordination from initial planning through event execution
  • Coordinate vendors and suppliers to ensure alignment with event timelines and logistics
  • Assist with registration planning, attendee experience logistics, and operational workflows
  • Participate in planning meetings and internal coordination calls
  • Maintain event timelines, documentation, and planning updates throughout the project lifecycle
  • Assist with exhibitor coordination and event logistics management
  • Manage and supervise event staff teams of up to 12 individuals during onsite execution
  • Deliver professional presentations to stakeholders when required, including planning updates and operational briefings
  • Support budget tracking and expense oversight to ensure alignment with event financial parameters
  • Assist with post-event reporting and stakeholder debrief meetings , including analysis of registration data, attendee engagement, and Survey feedback
  • Demonstrate strong emotional intelligence when working with clients, vendors, and event staff , maintaining professionalism and composure in high-pressure environments
  • Support event-day execution including registration operations, exhibitor management, and attendee flow
  • Ensure adherence to Opulent Events by Gracie operational standards and brand guidelines

Requirements

  • Minimum 4–5 years experience in event planning, meeting planning, or conference coordination
  • Strong organizational and communication skills
  • Ability to manage multiple planning tasks and deadlines
  • Experience coordinating vendors and event logistics
  • Professional demeanor and client-facing communication skills
  • High emotional intelligence and ability to manage relationships with clients, vendors, and event staff in dynamic environments
  • Ability to lead and supervise event staff during onsite execution
  • Experience presenting updates or reports to stakeholders preferred
  • Ability to work within structured planning systems and processes
  • Completion of Opulent Events by Gracie onboarding and training program prior to assignment
  • Availability for onsite event execution in Fall 2026
  • Completion of Opulent Events by Gracie onboarding and training program
  • Compliance with company operational standards and brand guidelines
  • Availability for onsite event execution in Fall 2026

Candidates must be located within the Eastern region of the United States , preferably in:


• Philadelphia

• New Jersey

• New York

• Washington DC

This requirement ensures availability for onsite event execution.

Compensation

Planning Rate: $35/hour

Event Day Rate: $350/day

Project hours capped based on scope of work.
