Paralegal Job Description

We are seeking an organized, professional, and detail-oriented full-time Paralegal to support two attorneys in a practice involving probate and trust administration, estate and fiduciary litigation, real estate matters, and other probate/chancery court matters. The candidate must be able to manage multiple deadlines and schedules and have experience drafting pleadings, handling court filings, and communicating effectively with clients. Proficiency with legal and office technology platforms, including Zoom and Microsoft 365, is required.

Areas of Responsibilities

· Onboard Clients . Professional and timely onboarding of new clients, including responding to initial inquiries and assessing requested legal services. Prepare and send initial intake correspondence, questionnaires, and engagement documentation to the client. Input client intake information into the firm database.

· Scheduling . Manage attorney calendars and coordinate schedules for client meetings, court appearances, teleconferences, depositions, and other appointments involving multiple participants.

· Case Management. Organize and manage client projects, including receiving, tracking, and disseminating information and documents. Maintain and update a shared Microsoft Teams task list with the attorney. Communicate with clients, courts, clerks’ offices, process servers, court reporters, and other third parties. Prepare and send certified mail, FedEx packages, and other legal correspondence. Reconcile case-related expenses. Calendar court and filing deadlines on attorney calendars.

· Pleadings & Filings . Draft court pleadings and other legal documents related to probate administration, conservatorships and guardianships, real estate disputes, and fiduciary litigation (i.e., Trust/Will contests, Trust/Will construction, and declaratory judgment actions). Organize and file (physical filing and E-filing) pleadings and other court documents in various state and local jurisdictions. Communicate with court clerks and navigate filing procedures and jurisdictional requirements.

· Record Real Property Documents . Navigate real property websites (i.e., tax assessor, deed search, and other public records websites). Communicate with deed recording offices and other records departments across multiple states and local jurisdictions. Record and e-record deeds and other real property documents with registers of deeds.

· Billing . Track and record billable time accurately for legal research, document preparation, client communications, and case management tasks in accordance with firm billing guidelines. Review time entries for clarity and compliance to support timely invoicing and to maintain detailed records for attorneys and clients.

Required Qualifications and Skills

· Prior paralegal or legal assistant experience.

· Proficiency in Microsoft 365, including Outlook, Word, Excel, and calendar management.

· Experience creating and organizing Zoom and Microsoft Teams meetings.

· Experience drafting legal pleadings and correspondence.

· Experience filing and e-filing court documents.

· Experience communicating professionally with clients by phone and email.

· Strong organizational skills and ability to manage multiple projects and deadlines.

· Attention to detail and accuracy in legal and administrative work.

Preferred Qualifications and Skills

· Familiarity with deed recording and real property records systems, including Simplifile.

· Experience with legal billing and timekeeping.

· Experience with litigation, probate, and/or real estate matters strongly preferred
